Terms of Service

The rules that govern your use of KOKO Systems. Last updated 12 June 2026.

The service

KOKO Systems provides hiring and training links, an applicant inbox, AI-assisted drafting, and related tools for small businesses. By creating an account or submitting a form through a KOKO link, you agree to these terms.

Your account

You're responsible for the accuracy of the information on your account and for any activity that happens under it. Keep your login credentials secure and tell us promptly if you suspect unauthorised access.

Acceptable use

Don't use KOKO to:

  • post fake, misleading or unlawful job listings;
  • charge applicants fees or move them to off-platform payment schemes;
  • send spam or harass anyone;
  • collect personal information beyond what you genuinely need to assess an application; or
  • violate applicable employment, anti-discrimination or privacy laws.

We screen listings for fraud signals and may suspend accounts that breach these rules, with or without notice where harm to applicants is involved.

Your data and your applicants' data

You own the content you create and the applications you receive. We process them only to provide the service, as described in our Privacy Policy. As the business receiving applications, you are responsible for handling applicant information lawfully — including honouring applicants' requests to access or delete their data.

AI features

AI-generated drafts, summaries and fit signals are assistance, not advice. You review and approve outgoing messages before they are sent, and you remain responsible for hiring decisions. AI assessments are shown only to you, never to applicants.

Payment

Paid plans renew automatically until cancelled. Prices are listed in Australian dollars on the pricing page. You can downgrade or cancel at any time from Settings → Billing; cancellation takes effect at the end of the current billing period.

Termination

You can close your account at any time. We may suspend or terminate accounts that breach these terms. After closure, your data is deleted as described in the Privacy Policy.

Liability

The service is provided "as is". To the maximum extent permitted by law — including the Australian Consumer Law, whose guarantees are not excluded — KOKO is not liable for indirect or consequential damages arising from your use of the platform, and our total liability is limited to the fees you paid in the 12 months before the claim.

Changes

We may update these terms; material changes will be emailed to account owners at least 14 days before they take effect.
